Step 1 of 8 in the billing cycle
Dental insurance eligibility and benefits verification
We verify each patient’s dental coverage and benefits before the appointment, so your team knows what is covered, what has already been used and what the patient is likely to owe. Our billers do the verifying. AI reads the benefits details and flags anything that could turn into a denial.
-

-
Annual maximum is almost used. Patient portion will be higher than usual.
-
Bitewings already paid this benefit period. Frequency limit reached.
-
Called payer to confirm the crown waiting period has been met.
-
Updated the estimate and messaged the front desk.
-
Verified and noted in the patient record.
Why verification breaks down
In most offices, verification gets squeezed in between phone calls and check-ins. It means payer portals, hold times and benefit breakdowns that run several pages long. When it is rushed, the details that cause denials are the ones that get missed.
A frequency limit that was already used at another office. A waiting period on major services. A missing tooth clause. An annual maximum that is nearly gone. A plan that ended last month. None of these show up in a quick active-or-inactive check, and all of them show up weeks later as a denial or a surprised patient.
How we handle it
Experienced billers do the work and make the decisions. AI does the reading, checking and watching that keeps the work complete.
What our billers do
- Verify eligibility and benefits ahead of scheduled appointments, using electronic eligibility, payer portals and phone calls when needed.
- Record coverage levels, deductibles, maximums used, frequencies and waiting periods in your practice management system in one consistent format.
- Call the payer when a response is unclear, incomplete or contradicts what the plan should cover.
- Note which planned treatment needs a pre-authorization for that patient’s plan.
- Tell your front desk about anything the patient should hear before treatment starts.
Where AI helps
- Reads benefits responses, including long or unstructured ones, and pulls out the details that matter for the scheduled treatment.
- Flags terminated coverage, maximums close to running out, frequencies already used and waiting periods still in effect.
- Highlights plans that need a closer look, such as a patient covered by two plans.
- Checks upcoming treatment against the plan’s limits so problems surface before the visit, not after the claim.
What your office gets
- Fewer surprises at checkout
- Patients hear about their likely portion before treatment, not when the explanation of benefits arrives.
- Coverage problems caught before the claim
- Claims are not sent to plans that have ended or for services the plan has already paid for this period.
- Your front desk gets time back
- No more jumping between portals and hold music while patients wait at the window.
What we need from your office
- Your schedule and each patient’s insurance details in your practice management system.
- Access to the payer portals you already use, or help setting up the ones you do not have.
Questions about insurance verification
How far ahead of the appointment do you verify?
We set the timing with you during onboarding. The goal is to verify early enough that your team can talk with the patient about coverage before the visit, and early enough to call the payer if something does not add up.
Do you check full benefits or just whether the plan is active?
Full benefits. An active plan can still deny a claim because of a frequency limit, a waiting period or a used-up maximum, so we record the details that decide whether the claim gets paid.
What if a payer does not support electronic eligibility?
Our billers use the payer’s portal or call. AI helps read whatever comes back, and a person makes sure the record is complete before the patient arrives.
Where does the benefits information go?
Into your practice management system, in the fields and notes your team already uses, so the front desk sees it where they work every day.
